Job Title: Financial Administrator
Project: Next Steps – International Permaculture CoLab

About the Project: The Next Steps project within the International Permaculture CoLab is taking the International Permaculture CoLab through the next steps of development. We are seeking a dedicated Financial Administrator to support the financial operations of the project, ensuring compliance with our fiscal host agreement and contributing to the project’s overall success.
Responsibilities:
- Financial Record Maintenance:
- Maintain accurate and up-to-date financial records, ensuring compliance with established policies and procedures.
- Organize and store financial documentation in an accessible and secure manner.
- Contribute to the end of project financial reporting due January 2026
- Invoice Management:
- Check and approve invoices in accordance with the fiscal host Memorandum of Understanding (MoU) and the Next Steps Community Accountability Policy.
- Ensure timely and accurate processing of invoices, verifying alignment with project budgets and agreements.
- Payment Troubleshooting:
- Identify and resolve payment issues in collaboration with the fiscal host and project contributors.
- Supportive can-do attitude:
- Meet contributors where they are at and provide ad hoc support regarding financial international transaction queries and other related matters.
- Project Participation:
- Actively participate as a fully-fledged contributor in the Next Steps project.
- Attend forums, meetings, and other relevant events as required to provide financial insights and support project planning.
- Other Duties:
- Perform any other tasks that may arise in the conduct of the role, ensuring the smooth financial operation of the project.
Qualifications and Skills:
- Proven experience in financial administration, bookkeeping, or accounting within a non-profit or collaborative environment.
- Strong understanding of financial policies, including experience working with fiscal host agreements.
- Excellent organizational and record-keeping skills with keen attention to detail.
- Strong communication and problem-solving skills to effectively liaise with diverse stakeholders.
- Proficiency in financial software and tools, such as spreadsheets and accounting platforms.
- Ability to work independently in a remote setting while collaborating effectively with a global team.
- Commitment to the values and ethics of permaculture.
Desirable:
- Experience in working with community-led or grassroots initiatives.
- Familiarity with cooperative financial structures and principles.
- Preference will be given to candidates who are already active in the CoLab, have experience working with Open Collective, and are fluent in English.
Work Patterns & Hours:
The majority of the work for this role takes place around our four billing periods(mid-March, mid-June, mid-Sep and Dec). You would need to be available to work intensively and responsively during these times. As the financial administrator you would also be expected to be available on an ad-hoc basis at other times as required. We are a fully remote team. We estimate the input for this role to be around 80 hours over the year to cover all payment periods and work as described in this document. We expect the role holder to responsibly manage their own time.
Compensation: This is a freelance position with a capped budget of £2,400 per year, billed on a quarterly basis.

Recruitment Process: All applications will be visible to all CoLab members. They will be able to comment and ask question of candidates between February 17th to 28th with final appointment to be done by March 3rd. There may be a recorded informal interview in this period.
Onboarding for the role will be conducted during the first 2 weeks of March.
